Meet The Daily Coach

The Daily Coach is an automated sales performance email that lands in your inbox every morning.

Written by Ben Vides

What is The Daily Coach?

The Daily Coach is an email that pulls together the numbers that matter — quotes, close rates, jobs won, total sold, top products, and goal progress — into a single, scannable report so you can start the day knowing exactly where your team stands.

No dashboards to log into. No reports to run. It's already in your inbox by the time you pour your first cup of coffee.

In this document we'll explain why the Daily Coach is useful, who it's for, how to activate it, and then explain many of the unique capabilities of this feature in more detail -- including the Sales Goal Tracker and Coach Pat, the AI Voice coach.

Who it's for

The Daily Coach is built for the people who own the sales number:

  • Business owners who want a daily pulse on the company without digging through OnCall Air every morning.

  • Sales managers and coaches who need to know who to celebrate, who to coach, and what to bring up in the morning huddle.

  • Multi-location operators who want both per-branch detail and a rolled-up view across the whole company (see the Daily Rollup, below).

If you're the person who asks "how did we do yesterday?" first thing in the

morning, this email was made for you.

How it works

Every morning before the workday starts, The Daily Coach:

1. Pulls yesterday's sales activity from OnCall Air.

2. Calculates performance across six timeframes — yesterday, last 7 days, last 30 days, month-to-date, prior month, and year-to-date.

3. Ranks your team on a scoreboard so you can see who's running hot and who needs a nudge.

4. Compares each consultant's month-to-date sales against their monthly goal (optional, if you've set up goal tracking...see below).

5. Sends it all to the recipients you've configured.

You don't have to do anything to make it run. Once your account is enrolled, it just shows up — every weekday, like clockwork.

How to set it up

The Daily Coach is available to Data+ Advanced subscribers only. You can activate the coach by navigating to the Advanced tab:

You can then activate and specify the recipients of the Daily Coach email (and activate the AI voice coach summary: Coach Pat).

If you'd like to track sales goals for your team, you can also do that in the "Track Sales Goals" section of the Data+ admin.

In a later section below we explain how these goals are tracked in the daily goal tracker section of the Daily Coach.

Inside the Daily Coach E-mail

Here's what you'll see when you open The Daily Coach, top to bottom.

1. Company Performance Summary

The first table is your company-wide snapshot. Every key metric, across every relevant timeframe, in one place. We split the date ranges so you can see Yesterday's performance alongside other useful date ranges like month-to-date and prior month.

Metrics include first-touch and last-touch quotes, jobs won, close rates, average options per quote, total closed value, average sale value, financing offered, discounts, instant rebates, price adjustments, and add-on performance. If it matters to a sales conversation, it's in there.

Note: First-touch quotes are those that were first presented. Last-touch measures quotes based on the last presentation date. These can differ because quotes can be edited over time and re-presented.

As you scroll down you'll see even more detailed metrics:

2. Sales Scoreboard

This is the part most managers read first.

The Sales Scoreboard ranks every active consultant by their Performance Index over the last 30 days. Performance Index is a single number that combines close rate and total sold — so it rewards consultants who both win at a high rate *and* drive volume, not just one or the other.

You'll see, side by side: first-touch quotes, jobs won, close rate, total

investment, average sale, and Performance Index.

The top three are highlighted in blue. Use it to spot your momentum leaders

and the consultants who could use a one-on-one this week.

3. Top Products (Company)

A list of the company's best-selling products over the last 30 days, filtered

to items over $500. Category, brand, model, name, and units sold.

Handy for inventory conversations, manufacturer rebate planning, and spotting shifts in what your customers are actually buying.

4. Individual Consultant Reports

Below the company section, you'll see a dedicated block for every active

consultant who's been quoting in the last 30 days. Each block contains:

  • Monthly Goal Progress card (if a goal is set — more on this below)

  • Performance Summary — the same six-timeframe table from the company view, but for that one consultant

  • Top Products Sold — what that consultant has personally sold over $500 in the last 60 days

It's everything you'd need to walk into a one-on-one already prepared.

Bonus: The Daily Rollup

If you operate multiple brands using OnCall Air, you can also receive a **Daily Rollup** — a single email that combines the company boards across every location in your group. Same structure as the daily coach (company board, momentum, top products), just with each location as a row instead of each consultant.

Rollups send a little later in the morning, after every individual location's

coach has finished running.

Note: All companies inside the rollup must be subscribed to the Data+ Advanced site-wide option for the rollup to be available. To activate the rollup, please reach out to support@oncallair.com.

Monthly Goal Tracking

Setting a goal is the easy part. Knowing if you're going to hit it — three

days in, ten days in, twenty days in — is harder. Goal Tracking solves that.

What it does

For every consultant who has a monthly sales goal set, The Daily Coach now

shows a Monthly Goal Progress card right at the top of their personal

section. At a glance you see:

  • The goal for the month

  • Closed sales month-to-date

  • How many days are left in the month

  • Whether they're ahead, on pace, or behind

  • Last month's goal and result, side by side, for context

The Visual Goal Tracker Report

The card in the email is the headline. The full story lives in the **Visual Goal Tracker Report** — a mobile-friendly visual deck linked directly from the email.

Click "📊 Monthly Goal Tracker — Visual Report" at the top of the email (or the inline link inside any consultant's goal card) and you'll see:

A team overview page - showing every consultant's pacing in one view, so

you can spot who's leading and who's at risk in seconds.

And below you'll see one page per consultant, with:

  • 1. Weekly cumulative pacing — a chart showing their trajectory toward goal, week by week, against where they need to be.

  • 2. Quoting activity — quotes presented vs. sold, week by week, so you can see if a slow month is a closing problem or a top-of-funnel problem.

  • 3. Open pipeline — outstanding quotes and dollars still in play including how much of that pipeline is from the last 7 days.

  • 4. Average job revenue — what their typical sale looks like, so you can translate "X dollars to goal" into "Y more jobs."

The deck opens cleanly on phones, tablets, and desktops — perfect for a quick scroll during a morning huddle or a one-on-one. Just be sure to view it in landscape mode on your phone.

Setting goals

As mentioned above, the goals are set in the Data+ Advanced section, and can be specified by consultant and by month based on the Total Investment amount of sales.

🎧 New: The AI Voice Coach lunchtime recap

Reading is great in the morning. By lunchtime, you'd rather listen.

What it is

The AI Voice Coach -- we call it Coach Pat -- is a daily, podcast-style audio recap of your sales performance. Around midday, you'll get a short email with a play button.

Tap it and you'll hear an AI-generated briefing that walks through yesterday's numbers — what stood out, who's trending, where the wins were — in plain English.

Why it's useful

  • Hear the story, not just the numbers. The voice recap focuses on the narrative — what changed, what to celebrate, what to watch — instead of rattling through every metric.

  • Listen between meetings. The recap fits neatly into the gap between a sales call and your lunch break.

  • Listen on the go. It's just a web link — works in the car, at the gym, on a walk.

It's not a replacement for the morning email. It's a companion.

How to opt in

The voice coach is activated, as mentioned above, in the Advanced section of Data+:

A few things worth knowing

  • Delivery time. The Daily Coach sends early in the morning so it's waiting for you before the workday starts. The Voice Coach recap arrives around lunchtime.

  • Who's included. The individual consultant sections and scoreboard show consultants who have been actively quoting in the last 30 days.

  • Company-wide totals include all historical activity, so your numbers stay accurate.

  • Recipients. You decide who receives the email. Add or remove people any time by reaching out to your implementation contact.

  • Privacy. Reports only go to the recipients you've configured in Data+ Advanced section. Voice recap and goal tracker report links are signed and expire after 7 days.
