Customizing email templates in the office

OnCall Air automatically sends your customers (and your team) emails with links to your proposal. These emails are sent in these scenarios:

  • When you click to Email a Presented Consultation (including all the proposal options you have prepared)

  • When you click to Email a single Proposal Option

  • Automatically if you are using the Automated Followup feature

  • Automatically when a Proposal is Accepted

By default, your OnCall Air emails will have some basic company information already set. However, customizing your emails and making them personable may increase your closing rate and leave a lasting impression on the customer. The email templates can be accessed via the Office Settings under Email Delivery. Go to Office >> Email Delivery >> Templates.

Types of Email Templates

There are two types of email templates available for customization:

1. Presented Proposal Email Template

This template is used to create a custom email that delivers a link to a consultation or an individual proposal option of a consultation.

2. Accepted Proposal Email Template

When a proposal is accepted, a link to the accepted proposal is emailed automatically to the customer, and copied to the Business Email Address(es) found on the My Company page in the Office.

Email Sections

Each Email Template has the following sections. The sections may be customized based on your preferences.

  • Subject

  • Reply to

  • Introductory paragraph

  • Signature

Section 1: Subject

The customized subject line of the email.

We recommend you make this unique and exciting, to make it easier for your customer to find your emails.

Section 2: Reply-To Email

The email address that is automatically populated when your customer clicks to reply in their email client. You can specify multiple reply-to email addresses.

Section 3: Introductory Paragraph

The customizable introduction to the email is a great way to emphasize your unique brand message with a brief, differentiated opener.

Section 4: Signature

This section allows you to customize a closing message and include a signature with contact information.


Customizing Emails with Dynamic Fields

Dynamic Fields are available to personalize your emails. All the fields below can be used in the following sections of an email:

  • Subject

  • Introduction

  • Signature

The available fields are specified below.

The placeholder text must be typed exactly as indicated for the system to substitute it with the appropriate value when the email is sent.

Previewing Emails

The Preview button is available to visualize what the email looks like when delivered to your customer. It’s useful to review any changes and make sure they appear the way you want them to look in the actual email. We also recommend emailing a TEST proposal to yourself so you can see how it will look in action.
