Introduction to Side Notes

Keep track of notes about a quote handy at any stage of the sales process

Side Notes allows you to take internal notes at any stage of the quoting process: whether you're building a new consultation or reviewing a presented quote.

The notes are accessible to you and your admin users. They can also be used to publish internal information to your inspector.

Why use Side Notes?

Think of Side Notes as your version of a "sticky-note" for any quote that you are working on. As you're building a quote, you can use Side Notes feature to jot down whatever comes to mind related to that quote, for example:

  • Remember customer preferences

  • Recall specific needs from the homeowner

  • Who are the decision makers on a quote

  • Special situations for the home

  • Context you'd like to share with the install crew or the back office

In short, Side Notes can be used for anything that you think will be useful and help you close the sale and deliver more value to your customer.

How can I add a Side Note?

Side Notes can be added from just about anywhere on a consultation.

First, you can add a Side Note while you're building a quote, using the button at the top of the navigation area:

This comes in handy as it lets you record a note related to the specific section of the proposal. For instance, you might be adding accessories, and remember that you want to ask the customer about an air purifier option. Simply click the button, add your note and get back to building the proposal. The note won't interfere with the process of building your quote.

Once a Consultation is Presented or even Accepted, you can still add Side Notes from the screen that lists out all your consultations (we call this the Navigator page);

This view shows you if a note has been taken on the consultation and how many Side Notes exist.

Sharing Side Notes with the Install crew and back office

Many companies rely on the OnCall Air inspector to prepare for the service and/or installation. The Inspector provides information that can be useful to the installers, back office, accounting and many others on the team.

If you want a note to appear on the Inspector, you can select that option when you create a Side Note. This makes it easy to communicate special information that you want the team to be aware of related the customer or the job.

Who can read Side Notes

Side Notes are always for the internal team, and don't appear anywhere on a proposal (you can use our Proposal Notes feature to communicate additional notes to your customer).

By default, Side Notes are visible to the Consultant that is assigned to a Consultation, and also to any Admin user in the system.

Additionally, as mentioned above, a Side Note can optionally made visible to anyone that has access to the Inspector.
