Validation fields needed to import custom equipment with spreadsheet

The Custom Equipment Importer is designed to save time and reduce errors when uploading a large number of custom equipment products in OnCall Air. Using the Custom Equipment Importer can save hours of manual data entry inputs by creating the custom products in a single file that can be manipulated easily in a spreadsheet.

In order for OnCall Air to properly read the custom equipment import file, it must formatted in a specific way. Improper format will cause validation errors when attempting to import the file back into OnCall Air.

Lets take a look at how to properly format each column of the file to successfully be imported into OnCall Air.

Column A: Component Type (component_type)

The Component Type column is utilized to link the custom equipment product with the correct component type of the series you already have created in OnCall Air. Be sure to use the Component Type Abbreviation found below in Table 1.1 to associate each product with the proper component type abbreviation:

Column B - Brand (brand)

The Brand column is used to represent the existing Brand that the series number is associated with.


Column C - Series Number (series_number)

The Series Number column is used to represent the existing Series Number that this product will be associated with.


Column D - Capacity (capacity)

The Capacity column must be associated with one of the integers listed in the Valid Capacity column below in Table 1.2.

(Represents thousands. Example, 50 = 50,000 BTU)

Packaged Unit

1.50, 2.00, 2.50, 3.00, 3.50, 4.00, 5.00

Ductless Outdoor

0.50, 0.75, 1.00, 1.25, 1.50, 2.00, 2.50, 3.00, 3.50, 4.00, 5.00

Ductless Indoor

0.50, 0.75, 1.00, 1.25, 1.50, 2.00, 2.50, 3.00, 3.50, 4.00, 5.00

Water Heater

Up to 3 integers.

(Represents gallons. Ex. 30 = 30 Gallon)


Column E - Model Number (model_number)

The Model Number column represents the model number for that particular product.


Column F - Length Inches (length_inches)

The Length column represents the length of that particular product in inches.


Column G - Height Inches (height_inches)

The Height column represents the height of that particular product in inches.


Column H - Width Inches (width_inches)

The Width column represents the width of that particular product in inches.


Column I - Cost (cost)

The cost columns represent the unburdened cost of that particular product.


Saving a File and Importing

The file must be saved as a CSV in order for OnCall Air to properly read the file.


Custom Equipment Importer Attachment

Attached to this tutorial you will find the custom equipment importer example that you can use as a starting point for uploading your custom equipment.

Using an example file as a template can be very helpful in ensuring that your data is formatted correctly. Simply replace the example data with your own, making sure to follow the same format.

Here are a few additional tips to keep in mind:

  1. Do not delete or rename any columns: The importer is designed to recognize specific column names. If these are altered, the importer may not be able to read your file correctly.

  2. Fill in all required fields: Some columns may be marked as 'required'. Make sure to fill in these fields for every product. If a required field is left blank, the importer may not be able to process that product.

  3. Check your data: Before importing, double-check your data for any errors or inconsistencies. This includes checking for correct spelling, accurate prices, and valid URLs for product images.

  4. Save your file in the correct format: The importer may only accept certain file types (such as .csv or .xlsx). Make sure to save your file in the correct format before attempting to import.
