Customizing a FlexJob when building a Proposal

Use dynamic editing of a FlexJob to make changes "on the fly" to a proposal and to build more complex quotes, like multi-zone ductless!

FlexJobs are created by an admin user in the Office, but they can also be altered dynamically during Proposal creation.

This can lead to an efficient strategy where the FlexJob created by an admin in the office contains the "standard" components of a job. Then, the components of a job that are unique to a particular quote can be edited during proposal building.

Using this strategy helps you leverage the power of the FlexJobs but also the flexibility to adjust as you built a quote, which can be helpful in many situations, e.g., multi-zone ductless, installation "kits", one-off jobs, etc.

Good to Know...

In many cases, using this strategy allows you to skip the Accessories and Installation Items steps, since you're doing all of that customization directly in the FlexJob!

This flexibility allows a consultant user to edit an existing FlexJob as follows:

  • Add equipment or accessories to a FlexJob

  • Add installation items

  • Change/Remove quantities of items

  • Add additional labor and/or material

  • Add custom notes for the customer or the job

The edits to a FlexJob can be made before or after the FlexJob is added to a Proposal Option.

If a FlexJob is edited before adding to a Proposal Option (e.g., Good, Better, Best), then the edited version can be quickly added to more than 1 option.

If the FlexJob is edited after adding to a Proposal Option, then those edits will only apply to the FlexJob within that specific proposal option.

There are two examples below showing how this works...

Edit a FlexJob BEFORE adding to proposal options

1. Find the FlexJob you want to add

2. Click the View/Edit Button to make changes

3. Make edits to the FlexJob

There are many aspects of the job that can be customized dynamically. The job can be updated so that your description is unique to that project -- and so that the right products and pricing are added for that specific quote.

And you can also use the search feature when adding Products to quickly find the right component to add. For example, if you're adding multiple indoor units, type in the first few characters of the model number to see the full selection of the relevant products.

4. Save your changes

Once you've made the edits, you can simply click the CLOSE button (all your changes are automatically saved as you edit)

You'll also notice that if the FlexJob price was changed (as a result of your edits) that the new price is indicated in the list.

You can also revert the changes by clicking on "Reset" button if you want start over.

5. Add the Edited FlexJob to Proposal Option(s)

You can now select to add the edited FlexJob to one or more proposal options. And you can add it as part of the job, or as a recommendation. Easy!

The changes can also be verified by clicking on the proposal option box and expanding it.

Edit a FlexJob AFTER adding to proposal options

You can also edit a FlexJob after you have added it to your proposal.

This gives you the flexibility to make all the changes shown above even after the FlexJob has been attached to a Proposal Option. This can be useful if (a) you forgot to add/edit an item, or (b) you want to have specific FlexJob customizations based on the proposal option (ie, good, better, best).

The FlexJob can be edited directly from the Proposal Option by clicking View Edit:

Then, make any edits as indicated in the previous section.

IMPORTANT: Any changes you make to a FlexJob once it's already attached to a Proposal Option ONLY apply to the FlexJob within that option. So if you want to make changes to a FlexJob that apply to all proposal options, we recommend making those customizations before you add to an option, as discussed in the section above.
